In-person Presentations

From the time you book a Together We Rock! presentation through to the day of the event, we want to make sure it’s an awesome experience for everyone involved. To help with your planning, we’ve put together some guidelines that will help to get you started on the right track. Let's Get Started

In-person presentations are when we come to you – literally! You start by contacting us by email, telephone or completing a Together We Rock! presentation booking form. Our team will respond to chat with you further about your request. Then we’ll send you an email to confirm our arrangements and provide you with the information needed to help us work together. You can expect a call from one of our team members a minimum of one week before the scheduled presentation to finalize arrangements. 

Bookings and Fees

Our presentation schedule can fill up rather quickly, so in-person presentations are arranged on a first-come, first-served basis. When you book an in-person presentation, we’ll follow up with a quote for the presentation fee and any related expenses as well as a Letter of Confirmation outlining the arrangements. 

Arrival and Venues

They say preparation is the key to success, so our team will typically arrive a minimum of one hour prior to a presentation to ensure everything is running smoothly. In some cases, you might need us there earlier – just let us know and we’ll work to accommodate your request. Once we arrive, the Together We Rock! team will set up our equipment, do a sound check and make sure your team is just as excited as we are!

We ask that you ensure the presentation venue (including entrances and washrooms) is accessible for a motorized wheelchair. If an elevated platform is going to be used, then an appropriate ramp, designed specifically for wheelchairs, will be required.  To keep things running on schedule, please check that any wheelchair lifts are in working order prior to our arrival, and if your facility has an accessibility challenge, please let us know in advance so we can work together to come up with a creative solution. 

Accommodation and Travel Arrangements

Our team typically makes its own travel and accommodation arrangements; however, if you would prefer to make these arrangements through your corporate account, please contact us to discuss our specific needs before you finalize your plans. 

Presentation Requirements

The Together We Rock! presentations have been created in Powerpoint and include audio, so please ensure you have the following equipment available: 

  • projector screen; 
  • LTD projector; 
  • sound system to plug in our laptop computer; 
  • extension cord; and
  • microphone (if there is a Question & Answer period).

At Together We Rock!, we know that technology often has a mind of its own, so we will arrive with a back-up laptop computer, LTD projector and sound system (that works for groups under 200 participants) in case you experience an equipment glitch.

Introducing the Together We Rock! Team

To make things easier for you, we’ll provide you with a sample introduction for the members of our team who will be attending your event. If you’d like photographs for promotional purposes, just let us know and we’ll put on our best smiles! 

Sign Language

If a sign language interpreter(s) will be in attendance, please let us know in advance so we can provide them with a written copy of the presentation.

Emergency Contact Number

At Together We Rock!, we pride ourselves on punctuality – however, weather and city traffic aren’t always predictable. Please provide us with the best telephone number to call if we’ve been held up by unforeseen circumstances on the day of the event.

Copyright and Trademark

Together We Rock! is a registered trademark, and all presentations and resource materials are protected by copyright law. A Together We Rock! presentation cannot be videotaped in its entirety. A short segment of three minutes may be recorded for media or promotional purposes. 

Media Coverage and Photographs

Looking to spread the word about your event? We’re happy to accommodate any requests for media coverage of our presentations. We do ask, however, that any photographs taken during a presentation do not cause a distraction to the audience or presenter.

We’re big fans of social media and on the day of the event, our team will likely take a photo to post on our social platforms with your permission (we will not take photographs of elementary or secondary students unless a parent/guardian has signed a Together We Rock! photography release). 

Promoting Safe and Secure School Communities

Part of our policy for promoting safe and secure school communities is that all Together We Rock! employees and volunteers attending school presentations have a Police Reference Check for the Vulnerable Sector. Written verification of our policy can be provided upon request. 

Presenter Gift of Appreciation 

Though we welcome positive feedback and applause at the end of a presentation, a presenter gift is not necessary. If you would like to show a gesture of appreciation, we would prefer that a donation be made to your favourite charity instead.

Web-based Presentation

Our goal is to promote the message of inclusion and accessibility to all elementary schools, so if you’re unable to schedule an in-person Together We Rock! event, no worries! In addition to our engaging in-person presentations, we offer a web-based presentation that can be delivered in an elementary school assembly or classroom setting. We’ll provide you with Teacher Resource Guides for primary, junior and intermediate level students, with introductory and follow-up learning activities to accompany the presentation. This presentation focuses on encouraging students to make a difference by taking “one step” to create a more accessible and inclusive school, neighbourhood and/or community. Students can then share their awesome ideas with others by sending us their “one step” to post on our website’s Make A Difference page. 

Please note that when purchasing a web-based presentation for your class or school from our store, you will have seven (7) days to access the video. Refunds are not provided in the event that you do not access the presentation within the required timeframe, so we encourage you to access the web-based presentation at least two days prior to your scheduled showing to ensure all is well. Step-by-step instructions on how to access the web-based presentation can be accessed here, but if you have any questions, please don’t hesitate to contact us.
